Part-Time IFA Administrator Job Description

Future Financial Planning is excited to announce the position of ‘Administrator’ is now open for candidates to apply. We are a small, highly qualified, Independent Financial Planning firm who are passionate about helping our clients achieve and maintain financial independence.

Location: Little Clacton, Essex, CO16 9LT with home working potential

Salary: £14 per hour

Job Type: Part-time contract (15 hours)

Purpose of the Role

To provide a support service to the Chartered Financial Planner in their day-to-day role and when dealing with clients. Ensure that all client information is kept in a structured manner, which is in accordance with the company’s procedural guidance.

General Responsibilities

  • To work as part of a team within the office environment and be happy working independently

  • To be actively involved in dealing with guests to the building, and answering telephone calls

  • Issue initial contact letters to clients, confirming appointments if required by the financial planners

  • Update client software with the contact details

  • Produce annual review reports where required

  • Produce and collate any information requested by the financial planner prior to the appointment

  • Complete any typing of reports or letters as required by the financial planners

  • Check any reports, illustrations, or other client information required for the next client contact

  • Update client records with any amended client information

  • On completion of any new business or amendment to existing business, check the documentation received and prepare for ongoing transmission to the relevant providers

  • Update client records with any new or amended data,

  • Track the new business and diarise to chase new business to completion

  • Responsibility for chasing the new business through to receipt of the policy documents or contact notes

  • Preparing policy document letters, checking and sending the policy documents

  • Updating the diary system for any further client review appointments

  • Providing a support service for all clients

  • Scanning and filing of client information

  • Structure and maintenance of designated client files

  • Creation and maintenance of standard templates and letters for client contact

  • Updating designated advisers with client information

  • To work within the regulatory requirements of the FCA at all times

  • To ensure compliance with the Data Protection Act, and any other guidance which forms part of the day-to-day role

Skills and Experience

  • Previous administration/office work experience is essential, preferably in financial services although not essential

  • Detail oriented, and able to work in an unstructured environment with critical time demands

  • Should have computer familiarity with Microsoft 365 (Word, Excel and Outlook)

  • Effective communication skills good interpersonal skills

  • Excellent organisational and administrative skills

  • Good grasp of English language and Mathematical concepts

  • Takes personal responsibility for consistently delivering high-quality work
